Roles and Responsibilities of this GroupM Job Vacancy

  1. To present and maintain a positive image for the client when interacting with visitors or staff members by practicing excellent customer service
  2. Ensure the reception area is kept neat, clean and presentable.
  3. Learn the names and location of the staff in order to develop a relationship with them
  4. Greet visitors and staff in a friendly and polite manner and provide assistance where needed
  5. Ensure that all incoming mail or courier parcels delivered to the reception are processed and registered timeously and accurately and the relevant persons are informed about the mail.
  6. Report all uncollected mail within three days
  7. Screen visitors to ensure that no unauthorized persons enter the building – liaise with security where necessary
  8. Ensure that all calls are answered in a speedy manner in accordance with client requirements.
  9. Screen calls as required
  10. Receive all incoming calls in a polite and efficient manner and to transfer it through to the correct person
  11. Where necessary take messages and ensure the message is passed on to the correct person accurately and timeously
  12. Assisting telephonic clients with queries where possible or route the calls to the correct person
  13. To ensure that all visitors sign in the Visitors Register
  14. Phoning the staff to let them know that they have visitors, and for them to come and collect them at reception
  15. Maintain an up to date company contact list including names, office phones and cell phones and email addresses
  16. Ensure that no confidential information or contact information is passed on to unauthorized persons
  17. Assisting all staff with the availability of meeting rooms via telephone or e-mail
  18. Confirm bookings by email
  19. Maintain all four boardrooms
  20. Ensure there’s a flipchart and paper
  21. Ensure there’s pens and a duster for the whiteboard
  22. Ensure there’s liquid to clean the whiteboard
  23. Check boardroom prior to meetings
  24. Make sure that catering has been provided if required
  25. Maintain an up to date schedule of meeting room bookings
  26. Accepting or declining meeting room requests according to the availability of meeting rooms
  27. Book and monitor conference phone
  28. Order stationery
  29. Provide assistance with typing and secretarial duties
  30. Provide general admin assistance as required


  1. Good English verbal and written communication skills essential
  2. Good planning and organisational skills
  3. Must be friendly and polite
  4. Must be neat and presentable


  1. Matric
  2. Two years experience in a similar role
  3. Telephone etiquette course
