AECOM: Project Administrator (Bellville, Cape Town)

Roles and Responsibilities of this AECOM Job Vacancy

  1. Scan and save all relevant project information to the network drive.  These include completed reports and bid documents
  2. Update and maintain approved sub-consultant list for the sub-sector.  Information to be forwarded to IMS.  Not required to register with F&A
  3. Keep and maintain records for auditing.  Each project to be provided with a checklist and maintained by the EMA
  4. Arrange for collection of all documents (project and tender) and petty cash when required.
  5. Assist with document compilation (writing, editing, binding, etc.)
  6. Issue document and drawing delivery/collection notes for all projects
  7. Register to be standardised through AECOM.  Gaelen Wright will manage drawing register.
  8. Circulate and maintain projects list in order to update salesforce data (Michelle de Klerk only)
  9. Assist PM/PMA with preparing meeting agendas, attendance register and supporting material for distribution to attendees
  10. Booking of meeting rooms and providing refreshments/catering where applicable
  11. Draft meeting minutes when requested
  12. Arrange all travel and accommodation for all staff
  13. Update and maintain sub-sector staff register
  14. Ensure that the sub-sector CV’s are updated every six months (January and July)
  15. Maintain network folder
  16. Scan leave forms and save to the network folder and forward original to HR
  17. Provide relevant information to new staff and ensure a welcoming environment
  18. Ensure that all timecards are entered timeously before the weekly deadline
  19. Assist with completing and submitting training applications
  20. Keep training record list up to date
  21. Ordering any office entertainment, food, etc.
  22. General assistance (birthday calendar, telephones, electronic diaries, etc.)
  23. Maintain and update all relevant information in the electronic library
  24. Manage information on the network drive (e.g. correct use of folders, etc.)
  25. Paper filing where applicable
  26. Assist General Assistant with issuing of stationery when required
  27. Arrange any courier requirements where applicable
  28. Ensure that vendors for external training and other services are registered with F&A
  29. Follow-up on payments to vendors for external training

Requirements

  1. Matric
  2. Post-secondary education in business, computers, or office management will be an advantageous.
